  • Contact and Identification Data: Name, email address, phone number, business name, and address.

  • Financial and Service-Related Data: Voluntary financial information, tax IDs, employee data (for payroll setup/processing), bank/credit card details (processed via third parties), invoices, receipts, and other records needed for services.

  • Website and Form Data: Information submitted through consultation requests, eBook download forms, newsletter subscriptions, review forms, or other website interactions. This may include your name, email address, phone number, business name, and information voluntarily provided by you.

  • We do not collect IP addresses, device information, browsing behavior, location data, or other automated tracking data beyond standard web server logs and basic cookies. We do not knowingly collect data from minors under 13.

2. How We Use Your Information We use your information solely to:

  • Provide requested bookkeeping, payroll setup, ongoing payroll, clean-up, and related services.

  • Communicate with you about services, consultations, updates, and account matters.

  • Process payments and maintain business records.

  • Comply with legal, tax, and regulatory obligations.

  • Improve our services (internally, without profiling or targeted advertising).

  • Send educational resources, newsletters, bookkeeping tips, service updates, and other communications you have requested or consented to receive. You may unsubscribe at any time using the unsubscribe link included in our emails.

We do not use data for automated decision-making, profiling, or targeted advertising. We may send marketing or educational email communications only to individuals who voluntarily subscribe, request resources, or otherwise provide consent.

3. Sharing and Disclosure of Information We do not sell, rent, or share your personal information for marketing purposes. We may share data with third-party service providers (processors) as necessary to deliver services, under written agreements that require equivalent data protection:

  • QuickBooks Online – for bookkeeping and financial data processing.

  • Anchor – for payments, proposals, and document signing.

  • Hostinger – for email communications.

  • Hostinger Reach – for email email automation.

  • Other accountants, tax preparers, or payroll platforms (with your permission).

We may also disclose information if required by law, to protect our rights, or in connection with a business transfer. All sharing is limited to the minimum necessary.

4. Data Security We implement administrative, physical, and technical safeguards consistent with SOC 2 Type 2 criteria (or equivalent standards), including encryption of data in transit and at rest, access controls, employee training, and regular security assessments. We maintain cyber liability insurance.

Despite these measures, no system is infallible. In the event of a confirmed data breach affecting your information, we will notify you in writing as soon as practicable (target: within 72 hours of discovery) and cooperate on any required notifications.

5. Data Retention We retain personal and financial data for up to seven (7) years after the end of our engagement (or as otherwise required by law for tax, accounting, or regulatory compliance). After this period, data is securely deleted or destroyed, except where retention is legally required.

6. Your Rights and Choices You have the right to:

  • Access the personal information we hold about you.

  • Request correction of inaccurate data.

  • Request deletion of your data (subject to legal retention obligations, such as tax records).
